What is Sales funnel?
The sales funnel explained simply
Imagine a shop with a big window. Many people walk past. Some come in, a few ask for advice and a smaller number buy.
The sales funnel shows this gradual drop. It is wide at the top, because many people discover the offer. It gets narrower as the action you ask for needs more interest or trust.
This picture does not mean you must force everyone to buy. It helps you see where people leave the path and understand what deserves your attention.
A concrete example
Imagine a creator who sells an online workshop. During a made-up campaign, 1,000 visitors discover her page. Of these, 100 leave their email to get a guide. Then 10 buy the workshop.
- Page visitors1,000
- Leads who left their email100
- Customers who bought10
The rate from visitors to leads is 10%: 100 ÷ 1,000 × 100. The rate from leads to customers is also 10%: 10 ÷ 100 × 100.
These numbers are made up. They are not a standard to reach. Their job is to show you how to read a funnel.
Now suppose many visitors start the form without finishing it. The creator does not need to rebuild her whole offer. First, she can check if the form is too long, unclear or hard to use on a phone.
Why it matters to you
- You find the problem. You know if the difficulty comes from attention, collecting contacts or the sale.
- You avoid random changes. You work on a stage you can measure, not on a feeling.
- You measure progress. You compare the same step before and after a change.
The funnel also shows why more traffic does not always solve the problem. Sending more visitors to a confusing page may just mean more people leaving.
On the other hand, a small improvement at one stage can bring more sales with the same traffic. Just check it over a long enough period.
How to use it
- Define the final conversion. It can be a confirmed purchase, a booking or a qualified request.
- Choose stages you can observe. Avoid vague states like “interested”. Prefer a visit, a submitted form or a confirmed payment.
- Count the people at each stage. Use the same period and comparable data.
- Calculate the conversion rates. The formula is: next stage ÷ previous stage × 100.
- Work on the priority leak. Look for the cause, test one improvement and measure again.
In this made-up case, the creator could look at two steps. If few visitors become leads, she checks the promise of the guide, the form and whether the page is consistent.
If many leads don’t become customers, she looks at the offer, the objections, the proof and the follow-up instead. Each problem calls for a different solution.
Choosing the “biggest leak” does not always mean choosing the lowest rate. You also need to consider the volume, the value of the conversion and what you can actually change. A small leak very early in the funnel can affect many people.
Be careful if you sell with cash on delivery: your real sale is the parcel that gets paid for, not the order. An order that never gets paid must not count as a sale.
Common mistakes
- ❌ Copying the stages of another business. → ✅ Build the funnel from your customer’s real actions.
- ❌ Counting an order as a paid sale. → ✅ Use the confirmed payment as the final conversion.
- ❌ Adding traffic without fixing a leaking page. → ✅ Analyze the conversion rates first.
- ❌ Changing the page, the offer and the emails together. → ✅ Test one improvement at a time.
- ❌ Comparing periods that don’t match. → ✅ Keep the same duration, source and definition.

FAQ
What are the stages of a sales funnel?
The stages depend on the business. A simple model can follow visitors, leads, qualified prospects and then customers. Each stage must match an action you can count.
What is the difference between a sales funnel and a customer journey?
The funnel measures how a group moves toward a conversion. The customer journey describes one person's experience before, during and after the purchase.
How do I calculate the conversion rate between two funnel stages?
Divide the number of people who reached the next stage by the number at the previous stage, then multiply by 100. Only compare data from the same period.
How do I improve a sales funnel?
Measure each step, choose the biggest leak, look for its cause and test one improvement. Then check the effect before you change another stage.
